Switching from a spreadsheet or another system to BOXLY

How a switch works
Every business is different, so we start with a conversation rather than a standard package:
- Conversation: what you use today, how many locations, units and tenants you have, and what bothers you about the current system.
- Proposal: what is carried over, in which order, who prepares what and when the switch happens. You get it in writing before we start.
- Trial: you first try BOXLY on a test account, with no effect on your customers.
- The switch on an agreed day. Until then your current system keeps running unchanged.
- Support through the first billing cycle: renewals, payments and reminders.
What to prepare
What you already have is enough, even in a spreadsheet:
- List of units: name, size, location, current price
- List of tenants: name or company, e-mail, phone, VAT ID for companies
- Running rentals: which unit, since when, paid until, monthly amount, payment method
- Access codes of the units, if you record them
- Existing terms and contract templates you want to keep
What to watch for
The most common questions are not technical but operational, so we settle them beforehand:
- Payment cards saved with another provider usually cannot be transferred. The proposal plans how your tenants save their card again in the customer portal.
- E-mails to customers: we agree whether and when tenants receive a message about the new portal. The switch sends no mass e-mails without your knowledge.
- Old invoices and records: what stays in the old system and what is kept in BOXLY depends on your accounting. Nothing is deleted in the old system.
- Your existing website: if it is found in search engines, we help redirect the old addresses.
What BOXLY can and cannot do when switching today
You create units and prices directly in the admin, also in bulk. There is no self-service import of tenants and rentals from spreadsheets yet, so they are carried over by arrangement with us. We do not promise a machine that does everything alone, but a process that works.

How do I start?

Will I lose data from the old system?
No. The current system stays in operation until you switch and nothing in it is deleted. Data that is not carried over stays where it is.
What does switching cost?

What about tenants who pay by card?
Cards saved with another provider usually cannot be transferred. Tenants save the card again in the customer portal. In the proposal we set how and when we ask them.
